One easy way for us to help Via become top of mind for everyone when they think of mobilization is to have consistent signatures on all our emails. We’ve created a simple template that should be easy to implement in Gmail, Outlook, Apple Mail, etc.
All staff are required to use the following guidelines. For those with security concerns, you may opt to delete the signature whenever sending to a security conscious individual, but the default setting would be to have Via email signatures.
Please set your signature in Arial (or Sans Serif if you’re in Gmail), since it’s available on every computer, and set the size to 14pt. We’ve given you two options: one with a logo attachment, and one without. You can add or subtract phone numbers as you wish. Solution teams can use their URLs (e.g. viagenerosity.org) if they wish.
Gmail instructions
Open Gmail in your browser (we're using Chrome for this example) by typing “mail.google.com” in the address bar.
Click the gear icon in the top right-hand corner and select “See all settings” from the drop-down menu.
In the “General” tab, scroll down to find the ”Signature” section.
Click on “+ Create New”, insert the internal name of your signature then select “Create.”
Type your signature into the box provided or paste it directly from this document. You can use basic HTML formatting here, such as bold or italics.
DO NOT COPY/PASTE THE LOGO. Instead, download the image from the link on the first page of this document, then upload it by placing your cursor in the correct spot, then clicking the Insert Image button.
Once you’ve edited the text of the signature to reflect your information, choose when you want it to appear by navigating to “Signature Defaults.” Use the dropdown menus under “FOR NEW EMAILS USE” and “ON REPLY/FORWARD USE” then select your signature or “No signature”.
Scroll to the bottom of the page and click ”Save Changes.”
That's it! Your signature will now be automatically inserted to the end of any emails you send from Gmail.
Apple Mail Instructions
Open Apple Mail on your Mac and click on the Mail menu. From the dropdown, select “Settings.”
Within “Settings,” click on the “Signatures” tab to see a list of all your signatures. To add a new signature, click the “+” button.
Name your signature, then deselect “Always match my default message font.”
Copy the signature from this document into the edit area. For some reason, it copies in too large, so hit Cmd-T to bring up the Text Style dialogue.
Select all the text and change the font size to 14.
Next, download the logo from the link on the first page, then place your cursor two lines below vianations.org and drag and drop the image in.
If you have multiple email accounts in Mail, make sure your Via signature is applied to the correct email by selecting it in the sidebar, then using the Choose Signature dropdown in the bottom.
You’re done!
Outlook Instructions
Click on the gear icon in the top right-hand corner and select 'View all Outlook settings'.
Then, go to 'Compose and reply'.
Scroll down to the 'Email signature' section.
Here, you can copy the template from this document.
