Computer Purchase Policies
Microsoft Office on All Computers
Microsoft Office will be provided by Via, and all ministry documents are expected to be in MS Office or Google formats, not Mac programs such as Pages.
Via will cover the cost of one license of MS Office per staff person, which can be installed on one device (laptop, desktop, etc.). If a staff person desires additional licenses to be used on additional devices, IT can purchase the licenses for the discounted rate, but the funds must be provided from your ministry account funds.
Damages to Via Computers
If your computer is less than two years old and was paid in part or in whole by the ministry’s budget (not completely out of your ministry account), then you will be expected to replace the damaged computer out of your ministry account funds with input from the technology team.
If you damage a Via computer, all repairs or costs to retrieve documents will come from your ministry account.
Ownership of Expensed Computers
If a computer is paid for entirely through one's ministry account as a reimbursable ministry expense, then the computer is technically owned by the Via.
If you leave staff before the computer has been depreciated in 4 years and want to take it with you, then you must buy out the remaining value of the computer.
Buy-Out Options for Via computers
Our depreciation for computers is 4 years, which means a computer loses a fourth of its value every year and is considered paid off 4 years after the date of purchase.
If Via purchased the computer or you expensed it through your ministry account, the computer belongs to Via. You may purchase the computer from Via at the depreciated value.
Staff Serving Less Than 3 Years
If you are only committed to Via for a year or anticipate leaving in the next two years, then talk to your supervisor to get approval before proceeding.
Antivirus
All computers connected to the Via network must have anti-virus software installed and configured for periodic scans and updates.
Operating System Updates
Major operating system (MacOS or Windows) version updates should not be performed until 3 months after they are released. We have adopted this slower ring update cycle to minimize compatibility issues. The IT team may not be able to support issues that occur if updates are performed ahead of this schedule.
